How to Configure Form Eligibility in Meritto?

Overview

Form Eligibility in Meritto allows institutes to define eligibility rules based on applicant information, determining which applicants can view and access a form.

Here is what you can do with Form Eligibility:
  1. Control form eligibility: Set conditions to show or hide a form for specific applicants based on their details.
  2. Works across all channels: The rules apply whether the applicant opens the form from their dashboard, a direct link, or any other source.
  3. Custom message for ineligible applicants: Customise the message shown to ineligible applicants for a better applicant experience.
  4. No disruption for applicants already in the process: Even if you add or update rules later, applicants who have already started filling the form, or have made the payment will not be blocked.
This feature helps institutes manage form access precisely, ensuring the right applicants reach the right forms every time.

Step-by-Step Guide to Configure Form Eligibility in Meritto

Step 1: Access Form Eligibility

Navigate to the form for which you want to configure eligibility.
  1. From the left navigation panel, search for FormDesk.
  2. Click on Manage Forms.
  3. Locate the relevant form and click on the Actions menu.
  4. Select Form Eligibility from the list of available actions.
  5. A right panel sidebar will appear with the header Form Eligibility.

Step 2: Select the Mode

Choose how the eligibility rule should apply to applicants:
  1. Show To: The form will only be visible and accessible to applicants who match the defined conditions.
  2. Hide From: The form will be hidden from applicants who match the defined conditions.
Notes
Note: By default, Hide From is selected. You can choose only one mode per form.

Step 3: Define Eligibility Rules

Use the rule builder to define conditions using the Field → Operator → Value structure.
  1. A maximum of 5 conditions can be added per rule set.
  2. Conditions can be evaluated as All (AND logic) or Any (OR logic).
  3. Only Lead Fields with Dropdown field types are supported (including static fields such as Country, State, City, Institute, Course, and Specialisation).
  4. Multi-select is supported in the Value field.

Step 4: Override Eligibility Rule If

In certain scenarios, eligibility rules may be added after applicants have already started interacting with a form. To prevent disruption for these applicants, you can configure Continue Access If conditions.
If any of the selected conditions are met, the applicant will retain access to the form even if the eligibility rules are no longer satisfied.
  1. Form Initiated
  2. Payment Approved
  3. Form Submitted / Part Submitted

Step 5: Set the Ineligibility Message

Configure the message that will be displayed to applicants who do not meet the eligibility criteria.
  1. Click on the message text box and enter your custom message.
  2. Default message: 'You are not eligible to access this form.'
  3. This message is shown across all blocked access points (Dashboard, Direct URL, API, etc.).

Step 6: Save the Configuration

  1. Click Save to store the eligibility rules.
  2. A toast message will appear: Form accessibility created successfully.
  3. To discard changes without saving, click Cancel — this closes the pop-up and returns you to the Manage Forms page.

Resetting Form Eligibility

You can remove all configured eligibility rules at any time using the Reset option.
  1. Click the Reset button (located near the Save button in the pop-up).
  2. A confirmation pop-up will appear with the message: `This will remove all configured eligibility rules. The form will be open to all applicants based on the default behaviour. Are you sure you want to proceed?"
  3. Click Confirm to proceed. A toast message — "Form Eligibility Reset Successful" — will confirm the action.
