Step-by-Step Guide to Create Communication Templates

1. Accessing the Template Manager


  1. Navigate to the Template Manager section in Meritto CRM.

  2. Click on Manage Communication Templates from the left-side navigation menu.

2. Creating a New Template

  1. Click on Create Template at the top-right corner of the screen.

3. Selecting Template Type

Choose from the available communication types:

  • Email

  • SMS

  • WhatsApp

  • Voice SMS

  • List SMS

  • List Email

  • Segment SMS

  • Segment Email

  • Exam Email

  • Exam SMS

  • Notification

4.  Fill in the following details:

  • Template Name: Assign a name for easy identification. Example: "Unverified Leads Email."

  • Select College Name: Choose the applicable college or institution.

  • Template Applicable For: Select the category where the template will be used:

    • Leads

    • Applications

    • Resubmit Application

    • Raw Data

    • Recommendation Data

    • Widgets

    • Payments

    • Exam Data

    • Spoc Person Data

5. Configuring Template Details

  1. Nature of Template: Choose between Transactional or Promotional.

    • Select Promotional for use in marketing automation.

  2. Subject: Enter a subject line for email templates.

  3. Subject Mapping: Use tokens for dynamic fields like Lead Name or College Name.

6. Adding Content

  1. Use the text editor to compose the email or SMS content.

  2. Utilize tokens (denoted by [T]) to personalize messages dynamically.

  3. Insert images if required.

  4. Use the Source button to view or edit the template's HTML code.

7. Additional Features

  • Copy Template: Duplicate an existing template for quick modifications.

  • Preview: View how the template will appear before saving.

  • Attach Files: Upload attachments up to 5MB (e.g., college brochures).

8. Creating an SMS Template

  • Select SMS as the applicable template type.

  • Enter the SMS content.

  • Use tokens for personalization.

  • Note: 160 characters count as 1 SMS credit (excluding token length).

9. Assigning User Access

  • Choose users who can access and modify the template.

  • Save the template once all configurations are complete.

Points to Keep in Mind

  • Ensure correct mapping of templates for leads, applications, or widgets.

  • SMS character count does not include token length.

  • Only authorized users can modify or delete templates.
