How to Allocate/Reallocate Leads using Manual Method?

Overview

Meritto CRM allows manual and automated flow of lead allocation and reallocation. Leads can be reassigned using Individual Assignment for direct allocation or Bulk Round-Robin Assignment among selected counselors or teams for both single counselor allocation accounts and multiple counselor allocation accounts.
  1. One to One: One lead can be allocated/reallocated to one counselor (Single Counselor Allocation Account).
  2. Many to One: Multiple leads can be allocated/reallocated to one counselor (Single Counselor Allocation Account).
  3. Many to Many: Multiple leads can be allocated/reallocated to multiple counselors using round robin rule or automation. (Single Counselor Allocation Account).
  4. One to Many: One lead can be allocated/reallocated to multiple counselors depending on the specialised use case. (Multiple Counselor Allocation Account).

Reassign Lead(s) for Single Counselor Allocation Accounts

To re-assign a lead (change lead owner/Counselor/Consultant) follow these steps:
  1. Navigate to Lead Manager > Manage Leads.
  2. Click on the checkbox to select the leads you wish to reassign . You can either select a single lead or multiple leads in bulk depending on your use case.
  3. Click on the  icon in the right corner of the page and then select ‘Re-assign Leads’ in the Drop Down menu.
  4. A pop-up of ‘Reassign Leads’ opens where you get the option of distribution method and owner name to be assigned.
  5. You can choose the Distribution Method as “Individual Assignment” or “Round Robin Assignment”.
  6. In the case of a single lead, you can choose “individual assignment” as the distribution method and select the name of the owner in the “Assign to” field. If required, remarks can be added.
  7. In case of multiple leads,
    1. If you wish to re-assign all the leads to a single new owner, select “individual assignment” as the distribution method and select the name of the owner in the “Assign to” field.
    2. If you wish to re-assign all the leads to a multiple new owner(s)/team(s), select “Round robin assignment” as the distribution method and select the name of the owner(s)/team(s) in the “Assign to” field.

Reassign Lead(s) for Multiple Counselor Allocation Accounts

  4. A pop-up of ‘Reassign Leads’ opens, where you get the option of distribution method and owner name to be assigned.
  5. You can choose the Distribution Method as “Individual Assignment” or “Round Robin Assignment”.
  6. In the case of a single lead, you can choose “individual assignment” as the distribution method and select the name of the owner in the “Assign to” field. If required, remarks can be added.
  7. In case of multiple leads,
    1. If you wish to re-assign all the leads to a single new owner select “individual assignment” as the distribution method and select the name of the owner in the “Assign to” field.
    2. If you wish to re-assign all the leads to a multiple new owner(s)/team(s), select “Round robin assignment” as the distribution method and select the name of the owner(s)/team(s) in the “Assign to” field.
  8. Additionally, you get an option to select the “Reassignment Type” in Multiple Counselor Allocation Accounts.
  9. You can either select “Add Owner” or “Remove and add owner” depending on your requirements.
    1. Add Owner” allows you to add one more owner to the lead. It does not replace the existing owner.
    2. Remove and add owner” allows you to replace the existing owner with the new name that you select.

Please Note:
  1. The limit for bulk reassignment is 10,000 leads per operation.
  2. Round-robin does not support the Unassigned option. Hence, if the leads are unassigned, they cannot be assigned using the round-robin method.
  3. Configuration settings dictate whether follow-ups are reassigned or marked as complete for the old owner.
  4. In case of reassignment errors, use the Cancel Reassignment option to halt the process.
