How to Re-assign User via Mobile App?

This article helps you understand how to reassign leads, applications, opportunities, queries, and events using the mobile app. You will learn where and how reassignment can be done within different modules such as Lead, Application, Opportunity, Calendar Pro (Events), and Manage Applicant Queries.
Whether you need to reassign a single record or perform a bulk reassignment, this guide walks you through the steps required for each module so that the right team member handles the right record.

Plan & Permissions

Plans/Modules Required

To be able to reassign users from different modules in the mobile app, make sure you have access to the following modules. If you don't have access to a specific module, you won’t be able to view or perform reassignment actions within that module on the mobile app:
  1. Application Manager
  2. Opportunities
  3. Calendar Pro – Events
  4. Manage Applicant Queries
These modules ensure that the user reassignment flows are accessible from all relevant lead and applicant touchpoints.

This permission gives you the ability to re-assign a single lead to another user.
Applications
Lead Nurturing/User Module > Re-Assign Leads
This permission gives you the ability to re-assign a single application to another user.
Opportunity
Opportunity > Assign Opportunity
This permission gives you the ability to assign an opportunity to another user.

Note: Lead and Opportunity both have individual ownership. So, changing the lead owner does not update the opportunity owner.

Step-by-Step Instructions

From Lead Module

Reassign from Lead List
Step 1: Open the Lead Module from Navigation Menu from your mobile app.
Step 2: In the Leads tap the three-dot icon (⋮) next to the lead you want to reassign.
Step 3: Select Re-assign.
Step 4: Choose the new counsellor from the list and tap Submit.

Reassign from Lead Profile
Step 5: Open the Lead Profile.
Step 6: Tap the ‘+’ icon on the bottom right and select Re-assign.
Step 7: Choose the new counsellor and tap Submit.

Once done, the lead, along with any applications and queries associated with them, will be reassigned to the selected counsellor.



From Application Module

Reassign from Applicant List
Step 1: In the navigation menu click on More and select Application
Step 2: In the Application tap the three-dot icon (⋮) beside the application.
Step 3: Select Re-assign Application.
Step 4: You'll see a toggle for lead reassignment (enabled by default).
  1. Keep it on to re-assign both the lead and application.
  2. Turn it off to re-assign only the application.
Step 5: Pick the counsellor and tap Submit.
The reassignment will follow your toggle selection.

Reassign from Applicant Profile
Step 6: Tap on the application to open the Applicant Profile.
Step 7: Tap the ‘+’ icon on the bottom right and select Re-assign.
Step 8: Choose the new counsellor and tap Submit.

From Opportunity

Reassign from Opportunity List
Step 1: In the navigation menu, tap on More and select Opportunity List.
Step 2: Choose a specific Opportunity List to view the associated opportunities.
Step 3: To reassign a single opportunity, tap on the ⋮ icon on the opportunity and select Re-assign.
Step 4: A reassignment screen will appear. Choose the new counsellor to reassign the opportunity.


Bulk Reassign Opportunities
Step 5: To bulk reassign, tap and hold on any opportunity. A checkbox will appear.
Step 6: Select multiple opportunities you want to reassign.
Step 7: Tap on the ⋮ icon at the bottom right corner and select Re-assign.
Step 8: In the reassignment screen, select the new counsellor and confirm the reassignment.


Reassign from Opportunity Profile
Step 9: You can also reassign from the Opportunity Profile. Tap on any opportunity to open its profile.
Step 10: Tap the “+” icon on the bottom right corner and select Re-assign.
Step 11: Choose the new counsellor and confirm.

Only the lead, application(s), and queries will be reassigned. The opportunity remains with the current owner.

From Calendar Pro - Events

Step 1: Click on More from the navigation menu and select Events.
Step 2: Tap on the event tuple or the three-dot icon (⋮) and select View.
Step 3: Once you're on the Event Details screen, tap on the edit icon at the top-right corner.
Step 4: Tap on the Owner field to reassign the event.
Step 5: Search by name or email of the counsellor you want to reassign the event to.
Step 6: Tap Submit to save the changes successfully.

Note:
  1. You can only reassign the owner for Ongoing, Upcoming, or Overdue type of events.
  2. To be able to reassign an event to another counsellor, you must have edit permissions for Calendar Pro - Events.

From Manage Applicant Queries

Step 1: Click on More from the navigation menu and select Manage Applicant Queries.
Step 2: You’ll see a list of all applicant queries.

Single Reassignment
Step 3: Tap on the ticket tuple you want to reassign.
Step 4: In the top-right corner, tap the three-dot icon (⋮) and select Reassign Ticket.
Step 5: Select values for Category, Subcategory, and User fields.
Step 6: Tap Submit to complete the reassignment.


Bulk Reassignment
Step 7: Use the filter to select one Category and one User. This is required before you can bulk reassign.
Step 8: You’ll now see the list of filtered queries.
Step 9: Tap and hold on any query to start bulk selection.
Step 10: Select the queries you want to reassign.
Step 11: In the top-right corner, tap the three-dot icon (⋮) and select Reassign.
Step 12: Choose the Category, Subcategory, and User to whom you want to reassign.
Step 13: Tap Submit to reassign the selected queries.


Points to Keep in Mind

  1. You must have access to the respective module (Leads, Applications, Opportunities, etc.) to view or perform reassignments in the mobile app.
  2. If the required modules or permissions are missing, you will not see reassignment options.
  3. Lead and Opportunity have separate ownership. Reassigning a lead does not automatically reassign the associated opportunity.
  4. For applications, you can choose to reassign the lead and application together or only the application by using the toggle provided.
  5. For bulk reassignment of queries or opportunities, filters must be applied first in some modules.
  6. Reassigning events requires edit permission in Calendar Pro (Events).
