Overview

Managing a large pool of applicants is much easier when you can zero in on exactly the data you need. Meritto's Application Manager gives you two types of filters - Quick Filters and Advanced Filters - so you can move from a broad view of all applicants to a precise, actionable list in seconds.
Quick Filters sit at the top of your application list for one-click access to your most-used criteria.
Advanced Filters let you build detailed, multi-condition filters using AND/OR logic across multiple groups- combining fields like payment status, form completion, conversion status, date ranges, and more to get exactly the applicant segment you need.

Together, they help you:
  1. Save time by skipping manual sorting
  2. Focus outreach on the right applicants at the right stage
  3. Take bulk actions - download data, send communications, approve payments - on a precisely filtered list

Quick Filters

Quick Filters give you one-click access to your most frequently used filter criteria, displayed at the top of the Application Manager page.

How to Access

  1. Go to Application Manager > Manage Applications
  2. Click the Form Name at the top-left to select the form you want to work with
  3. The Quick Filters panel appears at the top of the page by default

Advanced Filters

The Advanced Filter opens as a panel on the right side of your Application Manager page, keeping your applicant list visible as you build your filter.
You can add up to 20 conditions across up to 3 groups, with AND/OR logic between groups - giving you highly precise segmentation without complexity.

Opening the Advanced Filter

  1. Go to Application Manager > Manage Applications
  2. Select your Form from the top-left
  3. Click the Advanced Filter button at the top-right of the page
  4. The Advanced Filter panel slides open on the right

Building Your Filter

Step 1- Select Module
The Module field at the top of the panel defaults to Application Manager. You can switch to Lead Manager if needed - the field list updates accordingly.
Step 2- Select Field
Click the Select Field dropdown. A searchable list of all available fields appears, organised by sections such as Application Details and Admin Fields. Type to search for any field by name.
Step 3- Select Operator
Once a field is selected, the operator dropdown activates. Available operators depend on the field type:

Notes
Note: Changing the selected field resets the operator. The default operator is Equals for most field types.
Step 4 - Enter a Value
  1. For dropdown fields: a search popup opens- find and select the option(s) you want
  2. For Text fields: type your value and press Enter to add it as a tag. Each tag appears as a blue chip. Add up to 10 tags per condition - no need to create separate conditions per value.
  3. For date fields: use the date picker- presets such as Yesterday, Today, Last 7 Days, Last 30 Days, and Custom Range are available where now user can select dynamic date using the Nth date filters
Step 5- Add the Condition
Field  ->  operator  ->  Value
Repeat Steps 2-5 to add more conditions to the same group.

Conditions vs. Groups — When to Use Each

  1. A condition is a single rule: All conditions you add live inside a single group.Use conditions when all your criteria describe the same applicant- that is either ‘All/ANY’ criteria between the conditions added
  1. A group is a set of conditions evaluated together: The AND / OR pill between groups controls how they relate to each other. Use groups when you want to combine two different segments or intersect two independent sets of criteria.
Simple rule: One type of applicant → add conditions. Two different types → add a group.

Using Multiple Groups

Groups let you layer AND/OR logic across different sets of conditions. This capability is exclusive to the AM Advanced Filter.
  1. Once Group 1 has at least one condition, click + Add Group (1/3 total)
  2. A Group 2 card appears on the right panel
  3. The left panel context banner updates to "Adding to -> Group 2"
  4. The add button updates to + Add Condition (Group 2) so you always know which group you're adding to
  5. Build conditions for Group 2 the same way
Within a group- use the All / Any toggle on the group card:
  1. All (Meet All Criteria)- applicant must match every condition in the group
  2. Any (Meet Any Criteria)- applicant must match at least one condition in the group
Between groups- use the AND / OR pill toggle that appears between group cards:
  1. AND - applicant must match both groups
  2. OR - applicant must match either group

When to use: Start your day knowing exactly who has confirmed their seat through payment.
  1. Open the Advanced Filter panel
  2. Field: Payment Status  ->  Equals To  ->  Payment Approved

When to use: Identify leads that have gone cold - re-engage with a strong message or mark as dead leads to clean your pipeline.

  2. Field: Form Status  ->  Incomplete  ->  + Add Condition
  3. Field: Form Start Date  ->  Before -> Last ‘N’ days] -> Enter the days in number ->  + Add Condition

Use Case 4: Post-Payment Follow-Up: Paid but Form Incomplete
When to use: Some applicants pay but don't return to complete their form. These are confirmed leads at risk of falling off - catch them early.
  1. Open the Advanced Filter panel
  2. Field: Payment Status  ->  Payment Approved  ->  + Add Condition
  3. Field: Application Completion Date  ->  Is empty  ->  + Add Condition
  4. Keep group toggle on All (Meet All Criteria)  ->  Apply
Use Case 5: Pipeline Snapshot: Multiple Application Statuses at Once
When to use: Get a single view of all in-progress applicants across multiple stages - no need to run three separate filters.
  1. Open the Advanced Filter panel
  2. Field: Application Status  ->  type "Shortlisted" + Enter, "Under Review" + Enter, "Document Pending" + Enter  ->  3 tags, 1 condition
  3. Click + Add Condition  ->  Apply
Use Case 6: Geography Targeting: Applicants from Specific Cities
When to use: Run city-wise campaigns, assign counsellors by region, or check geographic spread across your pipeline.

  2. Field: [City Machine Key]  ->  type "Mumbai" + Enter, "Delhi" + Enter, "Bangalore" + Enter
  3. Click + Add Condition  ->  Apply
  4. Works with any Machine Key or text field - add up to 10 values as tags in a single condition.
Use Case 7: Gap View: All Payment-Pending Applicants
When to use: See the complete picture of payment not yet collected- regardless of form status- in one single view.

  2. Build Group 1 (All): Form Status = Complete  +  Payment Status = Payment Pending
  3. Click + Add Group  ->  set pill to OR
  4. Build Group 2 (All): Form Status = Incomplete  +  Payment Status = Payment Pending
  5. Apply
Use Case 8: Admission Pending: Paid Applicants with Exam Details Filled
When to use: Track applicants whose admission process is in progress - payment is confirmed and key exam details are captured, but the admission is not yet finalized. Useful for counsellor follow-up and conversion reviews.
  1. Open the Advanced Filter panel
  2. Application Owner -> Equals -> [Select owner name]
  3. Select Exam Details -> Is not empty -> + Add Condition
  4. Payment Status -> Equals -> Payment Approved -> + Add Condition
  5. Keep group toggle on All (Meet All Criteria) -> Apply


Use Case 9: Counsellor-Wise Confirmed Enrolments
When to use: Track applicants who have completed their enrollment under a specific counsellor or team lead. Useful for measuring conversion performance and maintaining a clean view of confirmed enrolments owner-wise.

Filter setup:
  1. Application Owner = [Select counsellor or team lead name]
  2. Enrolment Status = Yes
  3. Keep group toggle on All (Meet All Criteria) -> Apply
Use Case 10: Counsellor Pipeline by Lead Stage
When to use: Get a focused view of all active, unconverted leads assigned to a specific counsellor — covering those not yet contacted, currently in progress, or untouched. Helps counsellors prioritise their daily outreach and ensures no lead goes unattended.

Filter setup:
  1. Lead Stage = [Not Contacted, In Progress, Untouched] — 3 tags, 1 condition
  2. Application Owner = [Select counsellor name]
  3. Group toggle: All Criteria

Tips for Getting the Most Out of Filters

  1. Stack Quick Filters with Advanced Filters- Quick Filters for everyday views, Advanced Filters for specific campaigns or data pulls
  2. The Advanced Filter button shows your active count- "Advanced Filter (3)" means 3 conditions are running; click it to review or edit
  3. Use multi-value tags efficiently- for text, email, and Machine Key fields, add all your values as tags in a single condition instead of creating multiple conditions
  4. Sort your filtered list before taking bulk actions- use the Sort By option at the top-right of the data table
  5. Save your filter as a view after applying- reuse complex filters without rebuilding them each time
  6. Use OR between groups to union two segments- e.g. paid online OR paid offline. Use AND to intersect them - e.g. paid AND recently started.
