How to Use the ‘Transfer Application’ Feature in Meritto

The Transfer Application feature in Meritto allows users to move a submitted application from one application form or program to another. This is especially useful in cases where applicants have selected the wrong program or when internal reassignment of applications is needed due to operational decisions.
This guide explains the prerequisites, conditions, and step-by-step instructions for successfully transferring an application.

Pre-requisites

Before you begin, ensure your user account has the following roles or permissions enabled:
  • Application Manager
  • View Applications
  • Transfer Application
If you do not have the necessary permissions, contact your administrator to get them assigned.

Pre-Transfer Requirements


To successfully transfer an application in Meritto, the following conditions must be met:

  1. Both Forms Must Belong to the Same 'Form Type' An application can only be transferred between two forms that are of the same form type. Example: You can transfer an application from “MBA Full-Time 2025” to “MBA Executive 2025” if both are part of the 'Sequential' form type.
  2. Both Forms Must Be in 'Live' (Enabled) Status Transfers are only possible between live forms. Forms in draft or test status will not appear as available options during the transfer process.
  3. Applicant Must Be ‘Payment Approved’ The system allows transfers only for applicants whose payment status is marked as Approved. Applications that are still pending payment or under review cannot be transferred.

Step-by-Step Guide: Transferring an Application


Step 1: Access the Application Manager
  • Log in to your Meritto dashboard.
  • From the main navigation menu, click on "Application Manager."
  • Here you’ll find the list of all applications submitted under various forms.



Step 2: Identify and Select the Application
  • Use filters or search by applicant name, email, or form name to locate the application you want to transfer.
  • Confirm that the application is Payment Approved.
  • On the right side of the application row or card, click the three-dot menu (⋮) to open more actions.

Step 3: Start the Transfer Process
  • From the dropdown menu, click "Transfer Application."
  • A Transfer Application window will pop up, prompting you to select the target application form
  • Choose the correct form from the list. Only forms that match the source form’s type and are enabled will be listed.
  • Once selected, click Continue.



Step 4: Provide Applicant Details
  • The system will now ask you to fill or confirm specific applicant fields for the destination form that weren’t pre-filled. These may include:

    • Program preferences
    • Personal information
    • Contact details
    • Academic details, etc.

  • Some fields may be auto-populated if machine keys are mapped between the forms (more on this in the FAQ).
  • Once all the required details are filled, click Submit.
  • A confirmation pop-up will appear. Review the summary and click Continue to finalize the transfer.



Step 5: Confirm and Validate the Transfer
  • After the transfer is complete, you will be redirected back to the Application Manager.
  • Use the search function to locate the applicant by name or email under the new form.
  • Open the application to confirm that:
    • The application has been moved to the correct form
    • All necessary details have been correctly carried over


Frequently Asked Questions (FAQ)



Q1: Why can’t I see the destination form while transferring?
Ensure the destination form is:
  • Of the same Form Type as the source form
  • In Live (Enabled) status
Q2: What happens after transferring an application?
The new application form will show the applicant as Payment Approved by default.

Q3: How can I auto-fill data between two forms?
If both forms have identical machine keys for specific fields, Meritto will automatically copy the applicant’s data during the transfer. This ensures a seamless experience without requiring users to re-enter basic information.

Q4: Can I prevent certain fields from being auto-filled during transfer?
Yes, you can configure the system to exclude specific fields from being auto-filled. Here's how:
  1. Go to Manage Accounts and click on the three-dot menu (⋮) for the specific account.
  2. Select Configuration.
  3. Navigate to Basic Configuration.
  4. Find the setting:
    ‘Allow auto-fill of applicant data from one form to another for all fields except’
  5. In the input box, list the field names you do not want to be auto-populated.

Example: If you do not want "Program Preference" to be carried over, simply add it to the exclusion list.
