Introduction

A crucial step in any admission process is ranking applicants, which enables institutions to evaluate candidates fairly and transparently based on defined criteria. Generating a merit list not only brings structure to the selection process but also ensures that admissions are aligned with institutional policies and standards.
With the Generate Rank/Merit List functionality, designed to overcome the challenges of manual evaluation and ranking, institutions can seamlessly create merit lists and ranks based on applicant field data. Whether it’s configuring criteria, automating calculations, or streamlining list generation, this feature adapts to your workflows with accuracy and efficiency. It empowers you to reduce manual effort, minimize errors, and ensure a consistent, transparent, and reliable admission process.

What is Generate Rank/Merit List?

The Generate Rank/Merit List feature helps institutions streamline their admission process by shortlisting, ranking, and managing applicants with ease and accuracy.
With this feature, users can:
  1. Shortlist Applicants – Define criteria based on data stored in form fields, CRM fields, or admin fields to filter and shortlist applicants.
  2. Apply Ranking Logic – Configure rules on application form details and automatically sort shortlisted applicants in ascending or descending order.
  3. Generate Ranks – Once sorted, ranks are assigned to applicants and stored in an admin field, which can be directly viewed in the Application Manager.
  4. Handle Tie-Breaks in Real Time – Check and resolve tie-breaking scenarios instantly, giving flexibility to curate ranking logic on the go.
This functionality reduces manual effort, ensures transparency, and empowers users to generate accurate and fair merit lists within the platform.

Prerequisite

  1. The institute must include the "Generate Rank/Meritlist" feature as part of their package.
  2. Permission to access the Virtual Post application feature must be granted to the user.

Steps to Configure Generate Rank/Merit List

Step 1: Navigate to the Post Application in the menu then click on the Virtual Post Application in the sub-menu. Else, search for the Virtual Post Application in the menu search and then click on the Virtual Post Application listing.


Step 2: Select the Form name for which you wish to enable the Candidate Evaluation and Scoring. Once the form name is selected then click on the Let’s Get Started button


Step 3: Drag the Generate Rank/Meritlist tab from the Post Application Stages list and drop it in the Design your Post Application Process workflow window and then click on the Next Step. You will see a list of Scorecards already created along with the Status.


Step 4: When setting up a Rank/Merit List, you’ll need to configure the following parameters:
  1. Rank/Merit List Name: Provide a clear and meaningful name for the merit list logic (e.g., B.Tech 2025 Merit List). This name will appear in the listing page and help identify the logic in the future
  2. Will this list depend on other lists:
    1. Select Yes to reuse an existing logic.
    2. Select No to create a new merit list from scratch.
  3. Run the Logic for Candidate Fulfillment: Define the parameters and logic for generating the merit list. Parameters can include CRM fields, Application Form Fields, or Admin Fields.
    1. Multiple logics can be applied together.
    2. You can configure them using AND/OR conditions.
    3. Use the View Count option to see the number of applicants on which the merit list will be generated.
  4. Shortlisting Criteria:
    1. Select the application form field on which the merit list will be generated.
    2. Use the Using option to choose the application field.
    3. In Sort By, choose Ascending or Descending order.
    4. In For, decide whether the list should be generated for a specific percentage of applicants or a specific number of applicants.
    5. Use the In field to define the field on which the merit list should be populated.
    6. Check Tie-Breaking: Click this button to identify if any tie exists between multiple applicants.
    7. Additional Logics: Add more rules by clicking the Add button.
  5. Test and Finalize:
    1. Click Download Test Result to export a trial merit list in CSV format.
    2. Click Publish to generate the final Rank/Merit List. The ranks will be populated in the selected admin field.
    3. Click Draft to save the logic as a draft, which can be accessed and modified later.

Step 5: Once the Rank/Meritlist is generated, it can be viewed in the Application Manager by adding or removing the respective column. The list can also be downloaded by clicking on the Download Application button.
