All About Workflow Automation

Overview

Workflow Automation in Meritto empowers you to populate data related to different processes performed for or by the applicant in the Application Manager. Currently, this feature is primarily used to manage and populate payment-related data automatically.

  • Permissions Required:

    • Create Admin Fields under Application Manager.

    • Workflow Automation under Post Application.

Core Functionalities

Populating Payment Data in Application Manager

You can populate token fee payment data in the Application Manager by following these steps:

Step 1: Create Admin Fields

  1. Navigate to Application Manager > Create Admin Fields.

  2. Click Create Admin Field on top right-hand side to define the required fields.

  3. Provide the following details:

    • Field Name: Internal name for identification.

    • Field Label: Display name shown in Application Manager. By default, the Field name and label will be the same.

     (Field Label can be edited anytime after the field is created, unlike Field Name.)

  • Field Type: Choose from Textbox, Dropdown, Paragraph, or Date.

  • Additional settings (if applicable):

    • Dropdown: Define values manually or map with a predefined master dataset (taxonomy).

    • Date: Select the required date format and the calendar type will be Popup Calendar in our case.

  • Textbox or Paragraph: When selecting this field type, do not map any other data points.

  1. Click Save to create the admin field.


Step 2: Set Workflow Automation Logic

  1. Navigate to Post Application > Workflow Automation.

  2. Click on Create Automation Workflow.

  3. In Step 1, provide the following:

    • Create Workflow: Select Post Application Workflow.

    • Form Name: Select a form name if the fee product is linked to a form (e.g., Registration Fees).

    • Workflow Name: Define a unique name for the workflow.

    • Workflow Status: Set as Inactive while configuring logic.

  4. After creating the workflow, define multiple logic conditions:

  • Logic Title: Name for easy reference.

  • Logic Status: Set to Enable to activate logic.

  • For: Choose Post Application Connector as Payments.

  • Product Name: Select the relevant fee product.

  • Dynamic Conditional Block Name: (If applicable) Choose the block for dynamic fee products.

  • Update: Define actions to update fields or auto-generate data:

    • Form Field: Update specific admin fields.

    • Application Stage/Sub-stage: Update application stage based on conditions.

    • Auto-Generated Data: Populate system-generated values (e.g., Fee Product Name, Amount, Date).

  1. Click Save to store the logic.

  2. Use the Allocate button to apply logic to existing applicant data.

Step 3: Access Data in Application Manager

  • View: Admin Fields created through Workflow Automation appear in the Add/Remove Column section.

  • Filters: Use the Add/Remove Column option to filter data based on admin fields.
