This ensures timely follow-ups and efficient counseling. However, if not configured correctly, leads can remain unassigned, impacting the conversion pipeline and final admission count. Incorrect Trigger Selection

Issue: Leads are not assigned at the time of entry.

Why it happens: Automation is triggered based on fields like Lead Stage, Lead Score, or dynamic fields that are not populated immediately upon lead creation.

Ideal Setup: Use trigger types like "Lead Creation" or "Lead Status" to ensure leads are picked up as soon as they enter the system.

 

Logic Mismatch in Automation Setup

Let's say we want leads to be assigned when they enter the system. In that case in an ideal scenario trigger is selected as : Lead creation or lead status.

Issue: If triggers like Lead Stage, Lead Score, or other dynamic fields are selected—and those fields are not populated at the time of lead creation—the lead remains unassigned until the relevant field is updated.

 

Common cases of logic mismatch:

  • Not including all source/traffic channels or UTM sources in the allocation logic, lead remain unassigned.



  • Selecting incorrect dial codes (e.g., +93 instead of +91 for India).



  • Using negative logic (e.g., "Not Unassigned") incorrectly.

    Even if the intent is to assign unassigned leads, the condition is mistakenly set as "Not Unassigned," which causes the logic to fail.


  • Contradictory conditions using "Any Criteria" instead of "All Criteria".


Best Practice: Regularly audit logic rules to ensure all valid sources and combinations are covered.

 

Errors in Execution Node

Issue: Leads remain unassigned due to incorrect execution actions.

Common Mistakes:

  • Selecting "Lead Unassignment" instead of "Lead Assignment".



  • Excluding manually assigned leads unintentionally. (Note: Leads being assigned by manual assignment via quick upload/ Manual assignment from LM,L ead profile, or assigned via telephony pop ops are considered manually assigned leads)



  • Using "Checked-in Owner" logic when users haven’t checked in.

UTM Source Mapping Issues

Issue: Leads from certain UTM sources appear as unassigned.

Why it happens: UTM sources are not grouped or added in automation.

Solution: Bucket common UTM sources and include them in the active automation logic to prevent them from being mapped under the "Not Mapped" category.
