Configuring Check In/Check Out
Overview
The Check-In/Check-Out feature in Meritto allows you to manage lead allocation efficiently based on counselor availability. By enabling this feature, leads, applications, or opportunities are assigned only to counselors who have checked in, ensuring optimized workload distribution and effective counseling sessions. This feature can be configured manually or through Auto Check-In, giving flexibility based on organizational needs.
- Lead Allocation Based on Availability – Leads, applications, and opportunities are assigned only to checked-in users.
- Manual Check-In/Check-Out – Counselors must check in at the start of their session and check out when unavailable.
- Auto Check-In/Auto Check-Out: Users are automatically checked in and checked out based on admin-defined rules, ensuring accurate session management.
- Permission-Based Access – Enables administrators to configure access based on permission groups or teams.
- Real-Time Status Visibility – Displays counselor availability with an IN/OUT indicator on all pages.
Configuring and Enabling Check-In/Check-Out Feature
- Navigate to Settings icon
on the top right corner of the Meritto portal. - Click on ‘Account Setup’ in the left menu.
- Move to the ‘Check in/Check Out’ tab in the Account Setup window.
Manual Configuration of Check-In/Check-Out
- Configure the counselor(s) of the institution for whom check-in/check-out will be enabled: Once enabled, you can activate manual check-in/check-out and define who can use this feature by selecting either permission groups or teams:
- Assign Check-In/Check-Out to either Permission Groups or teams.
- Select one or more permission groups or teams to enable this feature for specific counselors.
- All counselors within the selected permission groups or teams will be included by default.
- If certain counselors are to be excluded, click on their names in the Include List to move them to the Exclude List.
- Once the settings are configured, click Save to apply the changes.
- Visibility of the Check in/Check out feature: After enabling Check-In/Check-Out, users will see a Check-In widget upon signing into Meritto.
- Upon logging in, the widget will display a Check-In button.
- Once a counselor clicks Check-In:
- Their status changes to Available and the session timer starts.
- The IN/OUT indicator appears on the top header of all pages:
- Green ("IN") – Counselor is available.
- Red ("OUT") – Counselor is unavailable.
- To check out, users need to:
- Open the Check-In widget.
- Click Check-Out before signing out from Meritto.
Note: Counselors can check their session duration by clicking the IN/OUT button on the header.
Auto Configuration of Check-In/Check-Out
- With Auto Check-In, counselors are automatically checked in when they log into Meritto.
- Navigate to Settings icon on the top right corner of the Meritto portal.
- Click on ‘Account Setup’ in the left menu.
- Move to the ‘Check in/Check Out’ tab in the Account Setup window.
- Enable the toggle “Enable Auto Check-In/Auto Check-Out".
How does Auto Check-In works:
When the Auto Check-In is enabled then in that case, user gets checked in automatically as soon as the user logs in to the system with their credentials.
How does Auto Check-Out works:
As soon as the toggle in configuration is turned on: A dropdown appears with Auto Check-Out Rule options:
- Extend Business Hours: This would automatically check out users after the organization’s defined business hours via adding the configurable buffer (0–12 hours) set by the user in the configration
Note: This option is only available when user has set ‘Custom Business Hours’
Example: if business hours as Custom Hours
- At Midnight: Automatically check out users at 11:59 PM based on the organization’s timezone.
System Logic Summary:
- Auto Check-In: Works as is — users are automatically checked in at the start of the business day.
- Auto Check-Out: Follows admin-selected rules (Business Hours extension or Midnight).
- Lead Allocation: Automatically pauses after a user is checked out (either manually or automatically).
Check in/ Check Out Availability Status
- You can configure the status based on which the counselor will be marked as available or non-available.
- Click on Check-in/Check-out Availability Status settings and use the toggle to select what check in and check out status are to be utilised. You can customize the status names and colors as per your requirement.
How Lead Distribution Works with Check-In/Check-Out
- Checked-in users will receive assigned leads, applications, and opportunities.
- Checked-out users will not receive new assignments.
