Configuring Lead Stages

Overview

Lead Stages categorize leads based on their status in the engagement and conversion process. Configuring lead stages helps structure lead management by defining actions at each stage. Lead stages can be customized by adding sub-stages, mandatory follow-ups, scoring, conditional restrictions, and reordering, ensuring an organized and systematic approach to lead tracking and progression.
  

Lead Stage and Sub stage Configurations

  1. Navigate to Settings icon  on the top right corner of the Meritto portal.
  2. Click on ‘CRM’ in the left menu.
  3. Move to the ‘Lead Stage’ tab in the CRM window.
  4. Lead stages can be configured under ‘Lead Stage and Sub stage Configurations’ section. 
  5. Expand the section using  . The expanded section reflects multiple default lead stages. You can:
    1. Edit the Lead Stage Names using  icon.
    2. Choose if Follow up is required mandatorily for a specific Lead Stage. Select Yes from the dropdown, a follow-up must be logged whenever the lead is moved to this stage.
    3. Choose if Sub-stage is required for a specific Lead Stage. 
      1. Select Yes from the dropdown post which your counselors will be required to select a substage when changing a lead's stage.
      2. Using  button, multiple sub-stages can be added under one lead stage. Follow up can also be made mandatorily for specific lead stages.
    4. Add lead scores from -10 to +10 corresponding to each lead stage. Scores are automatically applied to leads when assigned to that stage.
    5. Disable a specific lead stage using the Enable/Disable switch. Disabled stages will no longer be available for selection but will still be visible in reports and filters.
    6. Reorder the stages using drag-and-drop icon  to reorder the lead stages. The new order will be reflected across the system.
    7. Click on Save for the changes to reflect.

Conditional Logics on Lead Stage

Conditional logic can be applied to lead stages to control specific user actions based on predefined rules. You can Set Lead Stages Conditions as follows:

  1. If Lead Stage is’: Select or deselect the lead stage on which you wish to add the logic.
  2. Then’: Choose the condition that you wish to add:
    1. Stage Cannot Be Changed: Restricts from modifying the lead stage.
    2. Stage Can Only Be Changed: Allows only specified users to update the stage.
    3. Stage Cannot Be Moved Down: Prevents moving a lead to a previous stage.
    4. Follow-Up Cannot Be Changed: Disables editing of follow-ups.
    5. Remarks Cannot Be Added: Prevents adding new remarks to the lead.
    6. Communication Cannot Be Sent: Blocks sending messages to leads in the selected stage.
    7. Lead Remark is Mandatory: Requires a remark before updating the lead stage.
  3. Performed By’: If you wish the above-mentioned conditions to be applicable only when the lead stage is changed by a specific set of users.
  4. Click on Save for the changes to reflect.
