Data Backup Checklist

Introduction 

To close the admission cycle and start up a new one, we need to purge the existing forms and the associated records. This purged data will be stored for benchmarking and more future comprehensive analysis. 
 
Following are the data modules and the process to initiate the purge:-
 

Leads

  1. Go to Lead Manager and then Manage Leads.
  2. Click on Add/Remove Column and select all data parameters.
  3. Click Select All (near the registered name) to select all leads.
  4. Navigate to Action and then Download Leads.
 

Applications

  1. Go to Application Manager and then Manage Applications.
  2. Filter by Form Stage, selecting all stages.
  3. Click on Add/Remove Column and select all data parameters except Resubmit Application date, name, and status, then apply.
  4. Click Select All (near the registered name) to select all applications.
  5. Navigate to Action and then Download Applications.
 

Documents

  1. Go to Application Manager and then Manage Applications.
  2. Filter by ensuring the form name is selected from the dropdown.
  3. Click Select All (near the registered name) to select all applications.
  4. Navigate to Action and then Download Documents.
  5. Choose the desired folder structure and documents, then click Download.
 

Communication Logs

  1. Go to Marketing and then Communication Performance.
  2. Filter by choosing the Medium of Communication as Email and apply.
  3. Click the Download button next to the filter.
  4. Repeat the process for SMS.
 

Purchase Summary

  1. Go to Payment Manager and then Purchase Summary.
  2. Filter by selecting the form name and applying.
  3. Click Action and then Download Fees Data.
  4. Optionally, filter payment status as Payment Approved before downloading.
 

Query Manager

  1. Go to Query Manager and then Manage Applicant Queries.
  2. Select all applicant queries.
  3. Click Action and then Download.
 

Dashboards

  1. Go to Admin Dashboard and then Add Dashlets, adding all dashlets.
  2. Choose the graph data to download and click Download next to the dashlet.
  3. Download data from other dashboards in a similar way.
 

Campaign Manager

  1. Go to Campaign Manager.
  2. Click Download next to the Channel Summary Dashlet and Lead Disposition Summary.
  3. Click the menu button in the Top Channel and Publisher Dashlet to export data.
  4. Download individual channel-wise data by clicking on the channel and then Download.
 

Raw Data

  1. Go to Marketing and then Manage List.
  2. Click on the list name and then Action.
  3. Select Export Data to export the list data.
