Show Data Permission

Show Data Permission

Overview

Managing visibility of leads and applications is essential for ensuring data is accessed only by relevant users. Within the User Manager, the "Show Data" dropdown under the Client-Specific Information section allows administrators to control what level of visibility a user has for leads and applications across the system.
This article outlines how each visibility option functions and how to configure it based on a user's role or responsibility.

Core Functionalities

Show All Leads and Applications

This option provides full visibility across the entire system, including:
  1. Assigned leads/applications (linked to specific users)
  2. Unassigned leads/applications (not yet allocated)
Best suited for:
  1. This option provides full visibility and is typically used by administrators or users who require oversight across the entire organization.
Info
Tip: This is the most inclusive view and should be used cautiously to prevent unnecessary access.

Show Unassigned Leads and Applications

This option limits the user’s view to:
  1. Only unassigned leads/applications
  2. Leads/applications relevant to the user’s team and hierarchy level
Best suited for:
  1. Team Leads or Managers
  2. Users responsible for assigning new leads and monitoring their team's workload.
Info
Use this to maintain team-level focus while ensuring visibility of new incoming data.

 When No Option is Selected

If the “Show Data” dropdown is left blank (no selection made), the system defaults to a restricted view:
  1. Only the user's own leads/applications
  2. Data from their team and hierarchy level
Notes
Note: This ensures a focused view tailored to the user’s direct responsibilities and avoids clutter from irrelevant data.

Benefits of the Functionalities

  1. Data Security & Role-Based Access
Grant users access only to the data they need—reducing clutter and protecting sensitive information.
  2. Better Workflow Clarity
Tailoring visibility ensures users are only interacting with leads and applications relevant to their role, reducing distractions and boosting productivity.
  3. Hierarchical Flexibility
Allows organizations to scale user visibility effectively by leveraging team and hierarchy-based structures.

Conclusion

The "Show Data" permission in Meritto gives organizations precise control over lead and application visibility. Whether enabling broad oversight or maintaining tight control within individual roles, configuring this setting appropriately ensures both efficiency and data security.
Admins should routinely review these settings to ensure users have access aligned with their role and data responsibility.
