Create a Custom Lead fields
Overview
This article will guide you on the simple process of creating a new Custom Field within the Lead Fields module. Creating custom fields allows you to tailor your CRM to capture specific data essential for your unique enrollment process.
Plan & Permissions
The ability to create custom fields is standard across most Meritto plans, but is controlled by user permissions. To create a new field, your user role must have the following required permission:
Module | Permission Name | Description |
Lead Fields | Settings > View Lead Field | Allows you to view the list of all system and custom fields. |
Lead Fields | Settings > Add Lead Field | Grants permission to access the "Create Fields" button and add new custom fields to the system. |
Navigation & Access
You can access the Lead Fields configuration page using two methods:
- Go to Settings > Institute Configuration > Lead Fields from the navigation menu.
- Alternatively, use the search bar to directly search for "Lead Fields".
- Field Limits: Please note that the ability to create new custom fields is governed by your subscription's overall and type-wise field limits. You will only be able to add a custom lead field if you are within the limit for that specific field type (e.g., Dropdown fields). If you have exceeded this limit, you will not be able to create new Custom Fields.
Configuration Options: Creating a New Custom Field
This section outlines the simple steps to create a new custom field and describes the primary configuration sections you will encounter.
- Start Creation: Once you are on the Lead Fields page, look for the Create Fields button located in the top right corner. Click this button.
- Fill Details: A configuration window will appear. You will move through various sections to define the field's behavior and attributes:
- Basic Settings: This is where you define the Field Label (the name the user sees) and the Field Type. Available types include Textbox, Dropdown, Paragraph, Email, Mobile, Date, and Upload. You also set the Field primarily for option, which determines the lead profile section where this field will be visible.
- Field Attribute Settings: The options here vary based on the selected Field Type. For example, if you choose Textbox, you might configure the input type, placeholder text, minimum/maximum character limits, and similar attributes.
- Validation Settings: This is where you set the field's validation rules. Common options include setting whether the field is Required and defining the specific Error Message that appears if the validation fails.
- Add Quick Lead Settings: This section manages the field's visibility and requirements when using the mobile application's quick lead feature. Options include setting the field to Hide in Add Quick Lead or making it Mandatory in Quick Lead.
- Other Settings: This section covers general system configurations. Options include setting whether the field should be Hidden, defining its display Position, specifying where its value can be updated from, and marking the field as Sensitive Data (PII).
- Application Upload Settings: These options control the field's behavior during application processes. Common settings include determining if the field is Required in Single Application Upload in Application Manager (AM), making the field mandatory, and checking if the field is Required in Registration Form.
- Save: Review your entries across all sections and click the Save button to finalize the creation.

Expected Outcome: The new custom field will now appear in your list of Lead Fields and is ready for further configuration.
Business Relevance
Creating custom lead fields is vital for capturing precise student data beyond standard fields. This level of detail allows you to tailor your data strategy and provides the following benefits:
- Personalize Nurturing: Capturing specific interests and preferences enables your team to deliver highly relevant and personalized communications, improving engagement and accelerating the lead's progress through the funnel.
- Improve Reporting: Analyzing targeted data points allows for in-depth segmentation and business intelligence. You can generate sophisticated reports on specific demographics or activities, providing actionable insights for strategic enrollment decisions.
- Ensure CRM Alignment: Custom fields allow you to design your data structure so your CRM perfectly matches your unique enrollment forms and internal processes. This ensures data consistency and minimizes manual data entry errors.
Points to Keep in Mind
- Field Limits: Your ability to create new fields is directly tied to your subscription. If you find you cannot create a new field, first check that you have not exceeded your overall Custom Field Limit or the limit for that specific Field Type (e.g., you may have a maximum number of Dropdown fields allowed). For precise details on your current limits, please refer to the Custom Field Limit.
- Naming Convention: Choose a descriptive and unique Field Label to ensure all team members clearly understand the purpose of the data being captured.
Conclusion
You've successfully created a new custom field. By building out your data structure with relevant custom fields, you ensure your CRM is fully tailored to your institution's specific information needs, leading to more effective lead management and analysis.
