How to Add Notes?

Overview

This article will guide you on how to add text notes and voice notes across different modules in the mobile app. You can add notes from multiple sections such as Leads, Lead Profile, Update Lead Stage, Application Profile, Change Application Stage, and Opportunity Profile. Notes help you keep track of important updates, interactions, or reminders for leads, applicants, and opportunities.

Step-by-Step Instructions

Leads

Step 1: Open the Leads from the navigation menu.
Step 2: Tap the three-dot icon (⋮) next to a lead and select Notes.

To Add a Text Note

Step 1: In the text notes box, type the note you want to add.
Step 2: Tap Save. Your note will appear in the Lead Timeline.

To Add a Voice Note

Step 1: Tap Add Voice Note.
Step 2: Tap Start to begin recording (automatically stops after 1 minute or tap Stop to end earlier).
Step 3: Tap Play Button to review your recording.
Step 4: Tap Save to add the voice note to the Lead Timeline.

Lead Profile

Step 1: Open a lead’s profile.
Step 2: Tap the + icon and select Notes.

To Add a Note (Text or Voice)

Step 1: Choose the type of note you want to add. You can either add a text note or a voice note at a time.
  1. Text Note: Type your note in the text box and tap Save. The note will be added to the timeline.
  2. Voice Note: Tap Add Voice Note, then tap Start to begin recording. The recording will stop automatically after one minute or you can stop it earlier. Tap Play to review the recording, then tap Save to add it to the timeline.
Step 2: Once saved, your note will appear in the respective timeline for future reference.


Update Lead Stage

From Leads: Tap the three-dot icon (⋮) next to a lead, select Update Lead Stage, and use the note option in the stage update window.
From Lead Profile: Tap the + icon, select Update Lead Stage, and use the note option in the stage update window.

To Add a Note (Text or Voice)

Step 1: Choose the type of note you want to add. You can either add a text note or a voice note at a time.
  1. Text Note: Type your note in the text box and tap Save. The note will be added to the timeline.
  2. Voice Note: Tap Add Voice Note, then tap Start to begin recording. The recording will stop automatically after one minute or you can stop it earlier. Tap Play to review the recording, then tap Save to add it to the timeline.
Step 2: Once saved, your note will appear in the respective timeline for future reference.


Application Profile

Step 1: Open an applicant’s profile.
Step 2: Tap the + icon and select Notes.

From Applications: Tap the three-dot icon (⋮) next to an application, select Change Application Stage, and add a note in the stage change window.
From Application Profile: Tap the + icon, select Change Application Stage, and add a note in the stage change window.

Opportunity Profile

Step 1: Open an opportunity’s profile.
Step 2: Tap the + icon and select Note.

To Add a Text Note

Step 1: In the text notes box, type the note you want to add.
Step 2: Tap Save. Your note will appear in the Opportunity Timeline as well as the Lead Timeline.


Change Stage - From Opportunity List

Step 1: Tap the three-dot icon (⋮) next to the desired opportunity and select Change Stage.
Step 2: In the Change Stage window, you will see a Notes section.
Step 3: Enter your note as text in the description box.
Step 4: Tap Save. This will update the opportunity stage and also add the note against that opportunity.

Change Stage - From Opportunity Profile

Step 1: From the Opportunity Profile, tap the + icon and select Change Stage.
Step 2: In the Change Stage window, you will see a Notes section.
Step 3: Enter your note as text in the description box.
Step 4: Tap Save. This will update the opportunity stage and also add the note against that opportunity.

Points to Keep in Mind

  1. Voice notes are limited to 1 minute. Recording will stop automatically after this time.
  2. You can either add a text note or a voice note at a time. If you start typing in the description box, the option to add a voice note will not be available. To add a voice note, you need to clear the text box first.
  3. Voice notes are available in Leads, Lead Profile, Update Lead Stage, Application Profile, and Change Application Stage.
  4. Only text notes can be added in Opportunity Profile.
