How to Add, Edit & Reassign Follow-up Notes and Events?
Overview
The Follow-up Notes feature allows adding and updating follow ups, and notes for leads to keep track of interactions. This feature helps record key details such as discussions, preferences, and next steps. Notes can be added for new follow-ups, edited to reflect updates, and references for future interactions. The system ensures that all updates are saved and accessible within the lead’s profile.
How to add Follow-up Notes & Events?
Here are four simple ways to add notes to a lead's profile:
- Adding Event and Notes: Using "Edit" Below Applicant Name (‘On One View Lead Profile’ - Click here to know more):
- Navigate to Leads Manager > Manage Leads. Select the Registered Name of the lead.
- In the "Lead Details" tab on One view Lead Profile’, click the Edit button
below the applicant's name. - The ‘Change Lead Stage’ form opens allowing you to edit the lead stage, sub stages, follow up start and end date and notes.
- Click on Save button to make the changes.

- The ‘Change Lead Stage’ form can also be accessed from the lead listing page using icon
and clicking on change lead stage.

- Adding Notes: Using Follow up notes icon
on the right corner of One View Lead Profile Page:

- Navigate to Leads Manager > Manage Leads. Select the Registered Name of the lead.
- Click on the icon
available on the right side of the window. The ‘Add note’ window will open. - You can add notes with respect to the lead in the window and also navigate through the previously added notes here.

section.
- Adding Events: Using Calendar Pro

Navigate to Leads Manager > Manage Leads. Select the Registered Name of the lead.
Navigate to
in the Lead Profile and click on ‘Add Event’ or navigate to
icon on the right corner of the lead profile page.

The Add event window opens. You can add the subject, duration, and description of the event in the window and can save. All the events, once submitted, will be visible in the
section.
How to Edit and Reassign Follow-up Events?
Note: Editing is only possible for upcoming follow-ups. Overdue or today's follow-ups cannot be edited.
Additionally, reassignment is limited to upcoming follow-ups; overdue follow-ups cannot be reassigned.
Navigate to Leads Manager > Manage Leads.
Locate the lead whose follow-up you wish to reassign and click on the Registered Name to open the Lead Details tab.
On the right-hand side, click the Re-assign Follow-ups button. This will open a Re-assign Leads pop-up window.
In the pop-up window:
The current lead owner will be pre-selected.
Choose a new lead owner from the "Counselor Assigned To" dropdown.
Click Save to complete the reassignment.
The lead and the follow-up event will now be assigned to the new lead owner.
How to Mark Events as Complete or Cancel in Bulk?
- Navigate to the Events page.
- Use the Quick Filter at the top of the page to select the relevant event status.(Upcoming / Overdue)
- Choose the specific events you want to update or to update all events at once, first select all events on the current page, then click Select All Records.
- Click on the three dots menu in the top-right corner of the Events page.
- From the dropdown, select Mark as Complete or Cancel.
