How to Bulk Offline Upload Opportunity?

Overview

To empower users handling high volumes of opportunity data, we’re introducing the Bulk Offline Upload in Opportunity feature, with the ability to bulk upload or update Opportunity Data via an CSV sheet , similar functionality which we have on lead manager. Through this option they should be able to bulk upload/update values in dynamic or system fields in Opportunity Manager, which promotes faster operational efficiency across teams handling large volumes of opportunity data.

Pre-requisites

You must have the necessary permissions to access and use the bulk upload opportunity functionality.
  1. Offline Upload Opportunity

Data Validation

  1. File Format:  Your data must be in a CSV (Comma Separated Values ) format.
  2. Headers:  The first row of your spreadsheet must contain clear and descriptive headers that correspond to the fields in our system (e.g., "Opportunity Name", "Account Name", "Stage", "Close Date", "Amount").
  3. Required Fields: Ensure all mandatory fields for creating or updating an opportunity are present and populated.

Step-by-Step Guide: Single Lead & Bulk Lead Data Update

  1. Navigate to the Bulk Upload Feature:
    1. Navigate to the `Opportunities` section.
    2. Navigate to the Opportunity List where the Bulk Upload needs to happen. 
    3. Look for a button labeled "Bulk Upload".
    4. Select the unique parameter via which opportunity needs to be created or updated ; email, mobile (If Unique check enabled), or Lead ID.




  2. Download Pre-defined List and Sample CSV file download  (Optional but Recommended):
    1. Download the "Download Pre-defined List". This template will have the correct values for the master data fields being used in order to reference and add correct values in such fields.
    2. Download the “Download sample CSV file”. This template will have the correct headers and format, simplifying your data preparation.

  3. Prepare Your Data File:
    1. Open your CSV or Excel file.
    2. Ensure your column headers match the system fields accurately.
    3. Verify all required fields are populated.
    4. Cleanse your data for consistency (dates, numbers).
    5. Save your file in CSV  format.

  4. Initiate the Upload Process:
    1. Click the Upload button and select the file to upload a unique parameter it can be  either email or lead id or Mobile.



  5. Select Operation Type (Upload)
    1. The system will ask if you want to “Create a new lead if unique parameter not found”. Enable the toggle to create new leads and then opportunities.
    2. Map the field label names of the system with the headers of csv.
    3. Click on the “Do not import unmapped fields” in case if you wish to not import the unmapped fields.

  6. Configure Upload rules
    1. Overwrite duplicate opportunity (Toggle ON/OFF):
      1. When turned ON, existing opportunities with the same unique identifier will be overwritten with the new data from the CSV.
      2. When OFF, duplicates are ignored.
    2. Update only empty fields of duplicate opportunity (Toggle ON/OFF):
      1. When turned ON, only the fields that are blank in the existing record will be updated from the CSV.
      2. This prevents overwriting filled data.
    3. Default Owner of Opportunity:
      1. If no owner is specified in the CSV, the system will assign Default owner specified as the Opportunity Owner.
         
  7. There will be a message “Import Successful”.

  8. The status for the same can be checked on the Offline Upload Opportunity Logs page.
