How to Upload Offline Applications?

Overview

In cases where a student personally visits the campus and requests assistance in completing an application form, you can fill out the application on their behalf. This can be done either individually for each student or in bulk for multiple students simultaneously.

Plan & Permissions

To proceed, ensure that you have the necessary permissions to upload applications in the Application Manager.

Uploading a Single Application

Follow these steps to upload a single application into the system:

  1. Navigate to Application Manager > Manage Applications from the left-hand side panel.

  2. Click on Import > Upload Single Application from the top-right corner of your screen.

  3. A form titled Upload Single Application will appear. Ensure you add the exact details with which the lead has already registered to avoid duplicate entries.

  4. Enter the application details in the multiple sections available.

    • Mandatory fields are marked with asterisks (*) or bold labels.

    • Inline validation messages will notify you if any mandatory field is missing.

  5. Click Save to open the application form for the lead.

  6. You can either:

    • Fill in part of the application and click Save and Exit, which redirects you to the Application Manager with an assigned application number.

    • Complete the entire application form and click Save and Generate Application Number, which redirects you to the Application Manager with the application number.

Uploading Bulk Applications

Follow these steps to upload offline applications in bulk:

  1. Navigate to Application Manager > Manage Applications from the left-hand side panel.

  2. Selecting a Form:

    • Click on the Form Name at the top-left corner of the page, whose applications you want to filter.

  3. Click on Import > Upload Bulk Applications from the top-right corner of your screen.

  4. A page named Bulk Application Upload/Update will open. Configure the following options:

    • Select Form: Select the form for which the applications are being uploaded.

    • Upload Type:

      • Upload new - Will skip already existing applications and will upload new applications.

      • Update existing only - Will only overwrite existing applications.

      • Both - Will upload new applications (existing by Email ID, Application No., or Lead ID) as well as overwrite existing applications.

    • Enable Payment status through Discount coupons

  5. Upload Your CSV File
    1. Drag and drop your file or click Browse File to upload.
    2. You may also paste a valid file path directly.
    3. If needed, click Download a sample CSV file to refer to the correct header format.
  6. Map Fields or Assign Default Values 
    Meritto will try to automatically map the CSV headers with the system’s fields. If any fields remain unmapped, you can manually assign them using the dropdown menu.
  7. Once field mapping is complete, you’ll see a summary screen with:
    1. The total number of records detected.
    2. Count of valid vs. invalid rows (if applicable).
    3. Any potential conflicts or validation errors.
  8. After reviewing the summary, confirm the upload

Important Notes

  • Download the sample data sheet before proceeding. It contains all fields available in the application.

  • Fill in all details as per the predefined format.

  • Click Save & Next to navigate to the Upload File page.

  • Click Select a File, then Upload Data.

  • Once the data is uploaded, check the reports to see how many applications were successfully processed and uploaded.

  • Download any failed applications, correct the errors, and re-upload if necessary.

  • In the bulk upload case, only application details are uploaded. Any images/photos will not be uploaded during this process.

    • By the backend user from the admin panel, or

    • By the applicant from the frontend of the for

Mapping Master Data Fields

If any fields have associated master data, ensure that all fields are mapped correctly before uploading the data.

Points to Keep in Mind

  1. How do I know if a field is mandatory? Mandatory fields are marked with asterisks (*) or bold labels on each section of the Upload Single Application form.
  1. What happens if I try to save an application without completing all mandatory fields? You will receive inline validation messages indicating the missing fields and must complete them before proceeding.
  1. Can I navigate between sections if I haven't filled out all mandatory fields? Yes, you can navigate between sections even if some mandatory fields are incomplete.
