Enable Offer Acceptance

Enable Offer Acceptance

Overview

Offer Acceptance in Meritto allows you to issue offer letters to applicants based on their preferences. It provides applicants with clear visibility regarding their Offer, Waitlisted, or Rejected status for each selected preference.

  • One-Time Activity: Once an applicant accepts an offer, the decision is final and cannot be edited. The selection is recorded in the backend field for tracking.

This feature streamlines the offer management process, enabling applicants to review and accept offers efficiently, ensuring smooth progression through the enrollment journey.

Core Functionalities

Enabling Offer Acceptance for your Institute

To enable Offer Acceptance:

  1. Go to the Form Desk.

  2. Select "Manage Institute."

  3. Click on "Edit."

  4. Navigate to "Modules."

  5. Locate the "Virtual Post Application Platform" module.

  6. Access and enable the "Enable Offer Acceptance" sub-module.

Configuring Offer Acceptance

1. Configure Candidate Flow

The Candidate Flow governs how and when the Offer Acceptance button becomes visible on the candidate’s dashboard.

  • Candidate Eligibility Criteria: Define the trigger point for enabling the Offer Acceptance button:

    • Payment Approved

    • Application Submitted

    • Application Stage

  • Start Date and Deadline Date: Set the time frame for button visibility. The button will be displayed from the Start Date and removed after the Deadline Date.

  • Button Text on Dashboard: Customize the button label to make it intuitive for candidates.

Example: “View Offer Status” or “Check Admission Status.”

2. Configure Page Title & Instructions

This section defines the content visible to the candidate on the Offer Acceptance page.

  • Page Heading: Provide a clear heading that helps applicants understand the purpose of the page.

  • Instructions: Add any relevant instructions, notices, or guidelines to assist candidates in navigating the offer acceptance process.

3. Configure Offer Details

The Offer Details section allows you to define the grid that displays dynamically based on applicant status.

  • Form Field Mapping: Create form fields (dropdown) with values such as Offered, Waitlisted, or Rejected.

  • Grid Representation: Map these fields to display the appropriate status for the candidate’s preferences.

Example:

  • Pref 1: Status of first choice

  • Pref 2: Status of second choice

  • Pref 3: Status of third choice

The status of each preference is dynamically displayed on the applicant’s dashboard.

4. Configuration Status

Map the Alias Name with the relevant status field to allow the system to recognize the offer status based on the configured fields.

  • Enable Acceptance: Define the status for which the candidate can accept the offer. For instance, if Shortlisted is mapped to the status field, only applicants with that status can accept and submit their selection.

Info Important: Once the applicant accepts the offer, the system updates the form field with the Accepted status. This allows easy identification of applicants who have accepted the offer in the Application Manager.

  • Before Acceptance: Status shows as Offered.

  • After Acceptance: Status is updated to Accepted.

5. Payment Configuration (Optional)

This step allows you to configure token fees that applicants can pay while accepting the offer.

  • If enabled, candidates will be required to pay the token fee while accepting the offer.

  • If not configured, applicants can submit the form without making any payment.

Benefits of Offer Acceptance

  • Increased Transparency: Applicants can easily track and review their offer status.

  • Automated Status Update: Automatically updates the backend with accepted offers, reducing manual effort.

  • Seamless Integration: Token fee payment configuration ensures a smooth transition from offer acceptance to enrollment.

Special Business Use Cases

  • Multiple Preference Management: Handle applications with multiple program preferences and dynamically update status.

  • Token Fee Collection: Collect token fees post-offer acceptance to secure enrollment.

  • Conditional Offer Workflow: Configure specific eligibility conditions for offer acceptance.

Conclusion

Enabling Offer Acceptance in Meritto helps you seamlessly manage offer issuance and acceptance while providing applicants with real-time visibility of your status. The system ensures that accepted offers are accurately recorded and updated, making post-application management more efficient.
