Exam Integration Process | AoN CoCubes

Overview

The Exam Ecosystem in Meritto empowers you to conduct assessments through various stages, including Slot Booking, Admit Card Generation, Rescheduling, Scorecard Generation, and Retake Attempts. For seamless exam management, Meritto is pre-integrated with prominent exam partners such as AoN CoCubes, Wheebox, and Mercer Mettl.

This article focuses on the enablement and configuration of AoN CoCubes as an exam partner in Meritto’s platform, ensuring smooth integration and management of the exam workflow.

Core Functionalities

Understanding the Exam Workflow

The Exam Workflow for AoN CoCubes begins with understanding the exam configuration requirements:

  • Share the Requirement Gathering Sheet (RGS) with the institute and AoN CoCubes to gather:

    • Institute’s Exam Workflow preferences.

    • Technical details required by AoN CoCubes.

  • Post validation of requirements, proceed with the exam configuration.

Configuring the Exam Workflow

To configure the AoN CoCubes exam:

  1. Navigate to:

    • Go to Settings > Institute Configuration > Manage Exam Config.

    • Click on the Exam Config button at the top right.

  1. Select Form Name & Exam Partner:

    • Choose the Form name for which the exam is to be configured.

    • Select CoCubes from the list of available exam partners.

  1. Whitelisting for Testing:

    • For testing purposes, you can whitelist specific IPs or emails.

    • If enabled, the ecosystem operates only for these selected candidates, and the status will be displayed as Test Mode on Manage Exam Page.

  2. Select AoN CoCubes Version:

    • Choose from four supported versions: 1.0, 2.0, 4.0, and 4.1.

    • Use the version mentioned in the filled RGS to configure this.

Slot Booking Configuration

To enable slot booking:

  1. Check Enable Slot Booking to allow candidates to book slots.

  2. Define Eligibility Start and End Dates for slot booking.

  3. Data will be pushed to AoN CoCubes via the Exam Information API.

InfoKey Benefit: Allows candidates to SSO to CoCubes and book their exam slot, selecting date, time, and venue.

NotesNote: Only Static date is applicable for all pre-integrated vendor partners. The other 2 options do not apply.

Enabling Online Exam

To enable online exam attempts:

  1. Enable Online Exam to allow candidates to take the test without slot booking.

  2. Define the Button Name to be displayed on the candidate’s dashboard.

Admit Card Generation

To enable admit card generation:

  1. Enable Modify Appointment API.

  2. Slot booking details will be pushed via the Modify Appointment API.

  3. Configure the Admit Card Template that appears in the student’s portal post-slot confirmation.

NotesNote: Also, admit cards can be configured in document templates where you can choose the document sub-type as 'Admit Card' and it will be visible in the drop-down in admit card template dropdown in the exam config.

Scorecard Generation

To enable scorecard generation:

  1. Enable Result Notification API.

  2. CoCubes pushes the result using the Result Notification API.

  3. Configure the Scorecard Template for download by candidates from the portal.

InfoKey Benefit: Allows seamless fetching and display of candidate results.

Rescheduling and Retake Configuration

This module allows the Candidates who have scheduled their Exam, to change their Exam Venue or Date or Time any time within the allowed window for Rescheduling. Currently, rescheduling and retake options are:

  • Not Active: No requirements have been received from you or CoCubes.

  • Once enabled, You can define:

    • Reschedule attempts allowed and Button Name.

    • Payment options for rescheduling.

    • Time duration within which rescheduling can be done.

    • Retake conditions, including fees, Button Name  and time gaps between attempts.

NotesNote: Rescheduling and retake options will be configured based on future requirements. As of now, we have not received reschedule or retake configuration requests for Mercer|Mettl. Hence, the Re-scheduling and Retake options are optional to configure in this case.

  • Show Exam Graph: Here you can define all the Exam dispositions that you would like to see in the Exam Attempts dashlet on the Admin Dashboard.
  • Collected by Vendor: Not Applicable
  • Blocked Actions Status: Not Applicable
Status: This defines if the Exam Ecosystem will be Active or not. The same action could also be performed from the Manage Exam Config Page.

Result Mapping

To map results with Application Manager:

  1. Click on Manage Exam > Exam Result Data > Preview.

  2. Copy the JSON/XML and paste it into the Template Format dialog box.

  3. Click Validate JSON to generate sectional and subsectional headings and fields.

  4. Map JSON fields with Admin Fields in Application Manager.

  5. If required, create new Admin Fields and map them with score headings.

  6. You can then save the config and the same will be visible in AM. To map multiple fields in AM, you can click on the Add More option to create a new field and map it to the result. 

InfoKey Benefit: Allows result data to be automatically mapped and displayed accurately in Application Manager.

Exam Partner Configuration

Configuring CoCubes API

To configure the CoCubes Exam Partner:

  • Select Trigger Point: Defines eligibility for candidates to schedule exams.

  • Client Candidate ID: Define whether the ID should be generated based on Application Number or Payment ID.

  • Exam Series Code (Passkey): Mapped using the ‘Logic Based’ option in the exam series code type field.

NotesNote:  Result mapping should only be done, after saving the main exam config. Once the student is able to SSO and the result has been fetched on the Meritto Result API, only after that should you map the Result JSON

Implementation Tracker and Sanity Sheet:  Once the configurations are done, the next step is to test the Candidate Flow basis of the configuration wherein the concerned SPOC needs to provide a sign-off on the

NotesNote: Once the integration is completed, and you are facing any errors while successfully enabling SSO to the vendor portal, please refer to the Exam Ecosystem Debugging Kit for first-level debugging. If the case persists, then you may contact the product team to resolve the same.
