How to Schedule and Send Bulk Communication in Leads Manager?

Overview

Bulk Communication feature allows scheduling and sending emails, SMS or WhatsApp to multiple leads simultaneously. This feature helps in managing large-scale communications efficiently, whether for updates, promotions, or reminders. Messages can be customized, scheduled for specific times, and sent in bulk to ensure timely delivery.

Steps to Send Bulk Email/SMS/WhatsApp to Leads


  1. Navigate to Lead Manager > Manage Leads.
  2. Apply Filters to Select the Leads to whom you wish to send the communication. (Check How to use filters article). Mark the desired leads by clicking the checkbox next to their Registered Name.
  3.  Click on the  icon (located on the right side of the lead) and select "Communicate."
  4. A Bulk Communication pop-up box will appear.  Choose Communication Type (Bulk Email, Bulk SMS or Bulk WhatsApp) : .
  5. Specify Campaign Details
    1. Campaign Name: Enter a name for your campaign in the provided text field.
    2. Campaign Type: Choose an appropriate option from the dropdown menu. You can also add new campaign types for future use. Example: Create a campaign named "Communication during Festivals" with campaign types like "Diwali Wishes" or "Holi Wishes."
    3. These campaign types will be available in the dropdown for future communications. 
    4. For example, you have created a campaign called "Communication during Festivals" and specified the campaign types as "Diwali Wishes" or "Holi Wishes.” The next time you access the campaign type dropdown to send communication, the previously created campaign types, such as "Diwali Wishes" or "Holi Wishes," will be available for selection.
  6. Select Recipients and Sender. Choose the appropriate recipients (To) and sender (From) from the dropdown options.
  7. Add Content or Select a Template. Either type in your content or select a pre-existing template from the Select Template dropdown.

    Note: If you can’t find a specific template, ensure it is enabled and assigned to the correct pool (e.g., leads, raw data, or applicants).
  8. Enter Subject and Content. Fill in the Subject and Content fields as needed. 
  9. On the left side of the "Send Now" button, you’ll find five icons:
    1. Preview  :View the selected or created template.
    2. Schedule  : Set a specific time and date for sending the communication.
    3. Test Mail  : Send a test email to check the format and content.
    4. Attachment  : Add attachments if required.
    5. Recurring Communication  : Set up recurring emails or SMS.
    6. Fallback Method  : If alternative email (for e.g. father's email ID) is selected but not available, the email will be sent to the registered lead instead.
  10. To send immediately, click "Send Now" 

Steps to Schedule Bulk Email/SMS to Leads

  1. To schedule, click the Schedule icon  next to the "Send Now" button. 
  2. Select the desired date and time for sending the communication.
  3. Click on “Schedule Now”.
Notes
Note:
  1. Ensure templates are enabled and assigned to the correct pool.
  2. Customize campaign types for better organization and future use.
  3. Always use the Test Mail option to verify the content and format.
  4. Attachments can’t be sent via Email and SMS, 
  5. WhatsApp templates require Meta’s approval.
  6. SMS and WhatsApp aren’t editable from Lead Manager.
