All About User Productivity Report

Overview

The User Productivity Report provides a detailed view of lead owners' performance, offering insights into lead engagement, follow-up tasks, and application progress. It displays data on assigned leads, activities performed, follow-ups added, and other key parameters. The report helps you monitor and evaluate user efficiency across various date ranges.

Productivity report falls under the User Dashboard where you also have an additional tab to check all Follow-Up Tasks.

Plan & Permissions

  • Access to Meritto CRM with User Dashboard access.

  • Required Permissions:

    • View User Dashboard – To access the productivity report.

    • Download Report – To export the report in CSV format.

NotesNote: If these permissions are not enabled, contact your Admin or Customer Success Manager to enable them.

Core Functionalities

Date Range and Filters

  • Date Range: View data based on different date ranges like Today, Yesterday, Last Month, etc.

  • Filter Options: Filter data by Team, Lead Owner, and Form Name for a more refined view.

Customizable Columns

  • Modify column views based on multiple parameters such as:

    • Lead Details

    • Activities Performed

    • Notes Added

    • Follow-Ups Added

Quick Views and Download Options

  • Quick Views: Save your customized view under Quick Views. Default includes 6 columns, which you can add or remove as needed.

  • Download Report: Export reports in CSV format for offline analysis.

  1. Go to Dashboard > User Dashboard from the left-hand menu.

  2. Click on the “Productivity Report” tab.

Key Metrics and Definitions in the Report

Lead Summary

  • Owner’s Name: Name of the lead owner.

  • Leads Assigned: Number of leads assigned to the lead owner within the selected date range.

  • Leads Merged: Count of leads merged to avoid duplication (applicable for telephony leads).

  • Leads Not Engaged: Number of leads with no engagement activity performed.

  • Leads Engaged:

    • Overall: Total unique leads engaged by the lead owner for selected date range.

    • Assigned: Leads engaged that were assigned to the lead owner for selected date range.

Engagement Definition

Engagement is counted when any of the following actions are performed on a lead:

  • Lead stage changed

  • Follow-up and Notes added

  • Email and SMS sent

  • Inbound or outbound telephony calls.

NotesNote: Leads with no actions performed are considered “Not Engaged.”

Untouched and Stage Changes

  • Untouched Stage: Number of leads whose stage remains unchanged within the selected date range.

  • Lead Stage Changed: Number of leads engaged by the owner and stage changes based on responses within the selected date range.

Follow-Up and Notes Added

  • Follow-Up Added: Total follow-ups added by the lead owner after engagement within the selected date range.

  • Notes Added: Number of follow-up notes added for leads for selected date range.

Application Summary

  • Application Assigned: Total applications assigned to the lead owner.

  • Applications Submitted: Count of completed applications with payment approved.

  • Payment Approved: Number of payments approved for assigned applications.

Email and SMS Performance

  • Emails Sent: Number of emails sent for communication and engagement.Default email templates are available based on engagement.

  • SMS Sent: Number of SMS sent for communication and engagement.Default SMS templates are available based on engagement.

After the Leads summary tab, let’s check the Application summary.

  • All the headers are application-specific and lead owner specific. 

  • Along with everything under the lead summary, we can also check the number of assigned, engaged and submitted applications here. 

  • We can also save and apply filters visible under Applied Filter View.

Notes
Note: If you are unable to locate any user in the productivity report, then user could be in an inactive state. Once activated, his productivity will start reflecting in the report.
