Overview

Institutes and B-Schools often conduct post-application evaluation processes such as Group Exercises, Interviews, or Other Assessments before granting admission. With the Virtual Post Application (VPA), you can create scorecards for applicant evaluation across processes using customized scoring fields which are used as scoring parameters in the scorecard. Also, enabling the VPA’s candidate Evaluation and Scoring would help:

  • Create Scorecards/Evaluation Sheets

  • Define the candidates’ data points which will be visible to the Evaluators 

  • Define the parameters on which the Candidates will be evaluated

  • Implement various logic i.e. Calculation, Show/Hide, or make the scoring field mandatory

  • Add/View the Candidate’s scores

Plan & Permissions

  • Requires access to the Virtual Post Application (VPA) module on Meritto.

  • For Score Card related permissions, kindly connect with your SPOC from Meritto.

Types of Scorecards

Meritto offers two types of scorecards based on the evaluation process:

One-on-One Scorecard

  • This scorecard is used in One-On-One interviews, where a single evaluator assesses one candidate at a time.

  • Suitable for personal interviews where each candidate’s scoring sheet is accessed separately.

Group Scorecard

  • This type of scorecard is used for the evaluation of more than one candidate at one go. 

  • Used for evaluating multiple candidates simultaneously in a group discussion or team activity.

  • Evaluators can review all candidates in a single view and assign scores accordingly.

Step-by-Step Guide to Configure Candidate Evaluation Scorecard

1. Access the Virtual Post Application

  1. Navigate to Post Application in the menu.

  2. Click on Virtual Post Application from the sub-menu or use the search bar to locate it.

  3. Select the Form Name for which Candidate Evaluation and Scoring needs to be enabled.

  4. Click Let’s Get Started.

2. Enable Candidate Evaluation & Scoring

  1. Drag the Candidate Evaluation and Scoring tab from the Post Application Stages list.

  2. Drop it into the Design your Post Application Process workflow window.

  3. Click Next Step.

  4. A list of existing scorecards will appear.

To create a new scorecard: Click Add New Scorecard  (highlighted in the red box) .
To modify an existing scorecard: Click the Edit Evaluation Form  (highlighted in the yellow color) option from the action menu.

3. Configure Basic Scorecard Settings

  1. Define Scorecard Name – Use a meaningful name for easy identification, e.g., PI Evaluation Sheet. To add help text, click the blue question mark icon (highlighted in yellow) and enter text.

  2. Select Process – Associate the scorecard with Slot Booking process.

  3. Assign Evaluators – Select the evaluators who will assess candidates.

  4. Application Details in One-on-One Scoring: Define the block name and select details to display in the scorecard for One-on-One evaluations. Click Add New Block to create a block and map relevant data from the Application Form, such as Personal and Academic Details.

  5. Application Details to be shown in the Group Scoring view:Select the “Yes” radio button if the evaluation is group-based. Then, define the block name and candidate details to display on the scorecard.

  6. Applicant Document to be shown in Scoring view (Optional): You can define a block name and select the required documents (including those uploaded by the candidate or system-generated) to display on the scorecard for evaluation.If more blocks need to be added, click the 'Add New Block' button.

  7. Add Instructions (Optional): Enable instructions, add a heading, and define the content.

  1. Click Save & Next to proceed.

4. Configure Scoring Fields

  1. Click Add New Field from the dropdown, a screen will open up from the right side of the screen to create a custom scoring field.

  2. Define the following parameters:

    • Field Name (Visible to the Evaluator).

    • Field Type (Textbox, Rating Scale, Dropdown, Date, etc.).

    • Character Limits (Optional) – Define min/max character length.

    • Input Type: Define the input type for the scoring field.

    • Placeholder Text: Define the placeholder text in the Scorecard.

    • Custom Error Message: Define the error message when mandatory fields are not filled out.

  3. Click Save to add the field.

  4. Click + to add additional columns or fields if required and define the number of columns that need to be added in the below row.

To display help text on the scorecard, click the blue question mark and enter the text in the textbox.

5. Implement Scoring Logic (Optional)

To Show/Hide Fields Based on Criteria:

  1. Select Logic 1 from the dropdown.

  2. Define a meaningful Logic Name for easy identification.

  3. Choose criteria for the logic: "All Criteria" (when all conditions are met) or "Any Criteria" (when any condition is met).

  4. Define the logic i.e. if one scoring field contains x,y, or z then show/hide another scoring field. 

For Example: If the English score is 0, hide the Confidence scoring field.

  1. Click Save.If new logic needs to be added then click on the Add logic button.

To Add Calculation Logic:

  1. Click Calculate Field dropdown and define:

    1. Logic Name: Enter a meaningful name to identify the logic later.

    2. Run the logic for candidates fulfilling: Choose between 'All Criteria' (logic runs when all criteria are met) or 'Any Criteria' (logic runs when any criterion is met).

    3. Define the logic by selecting the scoring field in the 'If logic builder.' If the logic is met, the corresponding field will be updated as defined.

Regarding the above logic. The total score updates unless the English field is empty. In that case, the total score is the sum of English, Confidence Score, and Personality Score.

To Make Fields Mandatory:

  • Select the Mandatory Fields dropdown and choose the required fields.

6. Save & Enable the Scorecard

  1. Click Save to finalize the scorecard.

  2. Navigate to the Scorecard Listing Page.

  3. Click Enable from the action menu to activate the scorecard.
